By creating a monthly rhythm of forecasting your work and then proving your results on the blockchain, you build the transparency that turns casual visitors into committed supporters.


This guide will walk you through why this system is a game-changer and exactly how to implement it, step-by-step.



The Core Concept: Plans vs. Achievements


First, let's define the two building blocks:

  • Monthly Plan: A forward-looking forecast. It’s where you publicly state your goals for the upcoming month, including the estimated funds you'll use and the impact you aim to create (e.g., "We plan to remove 150 lbs of plastic using $5,000").

  • Monthly Achievement: A backward-looking, verified record of what you accomplished. It contains the actual funds used and impact created, along with a description and a proof image. Crucially, each Achievement is minted to the blockchain, creating a permanent, tamper-proof record of your work.


Both are displayed on your campaign page, showing supporters where you're going and what you've already delivered.

Your Headline Impact Metric is Driven by Proof, Not Promises or Donations

At the top of your campaign page is a large headline number (e.g., “1,245 lbs Of Plastic Removed So Far”). This number is the most important indicator of your progress, and it is calculated exclusively from your minted Achievements.

  • Plans do not increase this number. It only moves when you convert a plan into a verified Achievement.

  • This ensures your headline impact is always based on proven results, reinforcing donor confidence.

Set Your Core Metric Once (One-Time Setup)

To ensure all your reporting is consistent, you'll define your primary unit of impact one time.

  1. Navigate to Edit Campaign → Core Metric Configuration.

  2. Define your unit (e.g., pounds of plastic, meals served, trees planted).

All your Plans and Achievements will use this single metric, allowing your total impact to add up cleanly over time.

Your Monthly Workflow: A Step-by-Step Guide


Follow this simple, repeatable process to build momentum.


Step 1: Plan Your Future (Ongoing)

Always keep your supporters looking ahead. In your Organizer Dashboard → Achievements, create plans for the next 3-6 months.

  • For each future month, click "Add Plan" and enter the estimated Funds Used and estimated Core-Metric Units.

  • Best Practice: Always maintain at least three visible future months. This shows you're organized and have a clear roadmap.

Step 2: Convert Your Past into Proof (Monthly Cadence)

At the beginning of each new month, it's time to report on the previous one.

  1. Find last month's row in the dashboard and click "Convert To Achievement".

  2. Fill in the details with your actual results:

    • Title: A short, descriptive headline (e.g., "July Coastal Cleanup with 30 Volunteers").

    • Funds Used (Actual): The actual amount spent.

    • Core-Metric Units (Actual): The actual impact achieved.

    • Description: A brief summary of what happened.

    • Proof Image: A photo, receipt, or dashboard screenshot. Authenticity is key!

  3. Click "Convert to Achievement" to mint the Achievement on-chain. Your headline impact metric will update immediately.


Step 3 (Optional): Backfill Your History

Do you have past work you want to showcase? You can add achievements for any month on or after your campaign's official start date.

  • To add a recent achievement: If a month has passed and no plan existed, simply click "Add Achievement" on that month's row.

  • To add older history: To go further back, go to Edit Campaign and change your Campaign Start Date. The system will automatically generate monthly slots, allowing you to go back and add historic achievements for that period.


Important Note on Immutability: Once an achievement is minted, it cannot be edited by you. If you make a mistake, email support@panxpan.com, and our admin team can assist with updating the on-chain record.

Tip 1: Write Compelling Achievement Updates

  • Title Examples: "Campaign Launch & First Cleanup," "Volunteer Drive: 30 People, 2 Sites," "Recycling Pilot with City Partner."

  • Description Formula: What happened + who/where + why it matters. (e.g., "We organized a beach cleanup with 30 volunteers in Santa Monica, focusing on storm-drain hot spots identified by the city.")


Tip 2: Use Visual Proof Every Time

Photos of your team in action, before-and-after shots, or screenshots of data dashboards dramatically improve credibility and shareability.


Tip 3: Share Your Progress

After you mint a new Achievement, share it! Post it on social media and send an update to your email list. Turn your proven progress into fuel for future growth.


Tip 4: Name Your Milestones

  • Q: Why didn’t my headline metric increase when I added a new Plan?

    A: Only minted Achievements update your headline impact metric. Plans are forecasts and do not count toward your verified total. You must convert the plan to an achievement at the end of the month.


  • Q: Can I add an achievement for work I did last year?

    A: Yes. If your campaign start date is set to that time, you can add it directly. If not, simply go to Edit Campaign, change your start date to an earlier time, and the system will create the monthly slots for you to backfill.


  • Q: What if I forgot to create a Plan for a past month?

    A: No problem. You can still add a verified record. Just go to that month in your dashboard and click the "Add Achievement" button.


  • Q: I made a typo in an Achievement I already minted. How do I fix it?

    A: Because achievements are immutable on the blockchain, you cannot edit them directly. Please email support@panxpan.com for assistance.
